Change Management
Preparing for the changes that an EHR represents is probably the most difficult organizational implementation challenge. Ultimately, success means creating mechanisms to manage change long after the initial software implementation.
Project Management
Many implementations fail or suffer major setbacks and delays due to poor project management. Building in-house project management expertise makes failure and delays less likely.
Workflow Mapping
The workflow map provides an idea of how to match EHR features and functions to day-to-day work activities. The workflow map is also used to determine new job activities, eliminate obsolete positions, and set training schedules. If module-based implementation is planned, the workflow map may be used to prioritize modules for implementation.
Security Issues and Data Integrity
Security is not limited to preventing unauthorized access. Data integrity is just as important. Therefore, the following are included under security concerns: HIPAA and other state or federal regulations, disaster recovery, backups, data validation, and template design.
Informatics Standards
EHR systems must be properly configured to meet specific organizational needs. This may include the loading of terminologies, standard code sets, template design, and data capture standards. If quality improvement and patient safety studies are planned, proper system configuration is critical.
Paper Chart Migration
Chart migration services address the administrative and technical challenges that arise when moving from paper to electronic records or movement between electronic systems.
Training
There are three types of training required for most EHR implementations. Technical staff must know enough about the software to provide local support. Both types of end-users -- clinical and administrative personnel who will access the system-- must learn how to do their jobs using the EHR. Each group has special needs, and failure to appreciate the key differences between groups usually results in sub-optimal training
Testing & Auditing
For implementations of commercial products, testing consists of post-implementation audits conducted by client personnel to assure that data capture is complete and appropriate.
